Planning Bits

This is mostly for the planning committee (aka, three guys arguing about geeky shit instead of getting anything done) to discuss:

  • Predict attendance highs and lows. Invite the rest of the possible guests.
  • Really discuss venue options and their pros/cons.
  • Talk to out of town guests about their stay and begin collaborating on helping them out. It has been suggested that it's best if they arrive the night before and leave the day after the event.
  • Look into stuff we will need for the event and make a better list of it. Find out who can help us save money by bringing some things from home, buying something cheaper or proving services like transportation.
  • Consider things we can do at the event for fun that we can turn into traditions. Also look into nice and un-typical options for after BBQ activities in the city.
  • Do something about shirts.
  • PROBABLY MOST IMPORTANT FOR NOW: think of things to add to the optional survey such as the issues addressed above (venues, out of town notes, things people can bring, fun ideas, shirts) and fun questions to ask just for the hell of it. Add interactive ways to make the massive amount of information palatable to those bothering with optional survey.

We will need to decide, announce or be aware of the following things in order:

  • The date (very soon) - DONE
  • The place for main event (at least a month before?) - DONE
  • Shirt design and begin shirt costs(a month in advance) - In Progress
  • How people will help us (3-4 weeks in advance)
  • What we are doing about out of towners (3-4 weeks in advance) - DONE
  • Attendance down to about 10 people who are uncertain (2-3 weeks in advance)
  • Pricing based on list above (2-3 weeks in advance)
  • Money collection and much narrower attendance uncertainty, down to maybe 5 'pay on arrival' ppl (1-2 weeks in advance)
  • Shopping (last week)
  • Prepping (night before)

Transportation

  • 1 Ford Fusion sedan - seating capacity: 4 (w/ driver) when not loaded. Will be used for whatever needed. Good Milage (30+ mpg) shinny. - Rickb
  • 1994 Plymouth Voyager van - seating capacity: 7+ (w/ driver) depending on arrangement/size of passengers and amount of load. Can be used for anything. "Bad" Mileage (~16mpg), green, and makes noises (to dance to) - Sahal

  • Music? Speakers? Live broadcast of the event over NeoRadio? Just some ideas - stiv2k
      • Using a router with ddwrt we can try using "the large antenna" and a laptop to "get" internet access at the location. Does anyone have access to a nationwide wifi provider? We then broadcast anything we want/that can be connected to the laptop/stereo over NeoRadio.
